How to build a clear research product sourcing brief

Start with an exact product list

A useful sourcing brief begins with product names, requested presentations and quantities. Keeping these details in one list gives the supplier a consistent basis for checking availability and preparing a quotation.

If several specifications are acceptable, identify the preferred option and any alternatives instead of leaving the requirement open-ended.

Separate documentation requirements

List the documents or testing information required for each product separately from the commercial order. A report should be matched by its complete report number and sample identifier rather than assumed to represent every specification or future batch.

Define packaging as a coordinated system

For private-label work, specify the vial, cap, label, carton and insert together. Include brand colors, editable artwork and destination-specific wording in the brief so the proofing stage has a clear reference.

Confirm dimensions, spelling, color and placement before full production. A documented approval step helps prevent avoidable rework.
